Job Description

CLERICAL OFFICER II

DUTIES AND RESPONSIBILITIES:

An officer at this level may be deployed at any of the Departments at the Headquarters or a County Office. Specifically, duties and responsibilities will include:

  1. Maintaining an efficient filing system.
  2. Posting different entries in relevant ledgers and requisitions as per the ODPP procedures, providing information used to monitor the utilization of resources in the institution.
  3. Drafting simple correspondences as advised.
  4. Compiling simple statistical records based on routine or special sources of information.
  5. Receipt and record entry and exit of office information material.
  6. Sorting and distributing incoming mail.
  7. Entry of data in the computer regarding prosecution cases.
  8. Updating and maintaining databases as directed to ensure accuracy and up-to-date information.
  9. Confirming the mention and hearing notices, fixing hearing and mentions dates with the courts.
  10. Giving feedback on issues observed in the delivery of work.
  11. Opening and retrieving files as directed.
  12. Operating photocopiers, scanners, personal computers, and voicemail systems.

REQUIREMENTS FOR APPOINTMENT:

For appointment to this grade, a candidate must have:

  • Kenya Certificate of Secondary Education (KCSE) grade C Plain.
  • Certificate in Computer Applications from a recognized institution.
  • Meet the requirements of Chapter Six (6) of the Constitution of Kenya 2010, focusing on Integrity, Honesty, and Accountability.
