HIAS seeks a Program Associate, Emergency & Humanitarian Programs to assist the Emergency Department. This position will join the small, but growing, Emergency Department and contribute to the rollout of HIAS’ five-year Emergency Response Strategy. They will work closely with the Senior Director, Emergency & Humanitarian Programs and the Director, Emergency & Humanitarian Programs to drive forward HIAS’ five-year Emergency Response Strategy and operational plan, monitoring that all benchmarks are achieved as planned. Reporting to the Director, Emergency & Humanitarian Programs, they will support the department’s programs and operations by facilitating cross-divisional communication, supporting HIAS’ learning agenda, facilitating the consultancy process and taking on other administrative duties to support the Emergency Department team and field staff as required. They will engage with other departments on behalf of the Emergency Department, including Strategy & Measurement, Human Resources, Budget & Fiscal Compliance, IT, Communications, Development and Community Engagement, and they will also communicate with field staff as necessary.
Note, this is a full-time, temporary position. The position is based in Silver Spring, Maryland, and we ask that applicants be available for a 4-month period beginning in July 2022.
During an emergency situation, provides support to HIAS' interdepartmental Response Management Team; this includes meeting coordination, notetaking, drafting situation reports and compiling information and written materials to be shared with HIAS staff.
Leads scheduling of and timely communication regarding interdepartmental meetings and workshops, including between HQ and field offices.
Drafts meeting agendas, organizes and/or creates meeting materials and confirms technology is prepared and ready to ensure participation from country programs and remote staff.
Acts as rapporteur for meetings and workshops, following-up on next steps identified, including by distributing materials and scheduling follow-up meetings as needed.
Provides support for other interdepartmental initiatives as needed, including by providing additional logistical support and coordination for larger gatherings and multi-day workshops, such as regional retreats for field leadership and international training opportunities.
Provides administration, coordination and, at times, facilitation for the Emergency Program Working Group, including scheduling, meeting minutes and presentations.
Acts as the primary focal point for scheduling, distributing materials for and providing or securing translation and interpretation for staff trainings and Communities of Practice webinars.
Provides logistical support for regional and global training and learning events for HIAS’ HQ and international staff.
Ensures relevant new resources and learning materials are shared with the Emergency Department and across departments in a clear and timely manner.
