Key Responsibilities:

Accounts Payable Processing:

• Review and verify incoming invoices for accuracy, completeness, and proper authorization.
• Enter and maintain invoices in SAP accounting system.
• Schedule and execute payments to vendors, ensuring adherence to payment terms and company policies.
• Process employee expense reimbursements in compliance with company guidelines.

Payroll Processing:

• Assist in the preparation and processing of monthly payroll for employees.
• Ensure all payroll calculations are accurate and compliant with Kenyan labor laws, including deductions for NSSF, NHIF, PAYE, and other statutory obligations.
• Maintain payroll records and respond to employee inquiries regarding payroll issues.

Bank Reconciliations:

• Conduct monthly bank reconciliations to ensure accurate reporting of cash balances.
• Investigate and resolve discrepancies between bank statements and the general ledger.
• Prepare and maintain documentation of all reconciliations for future reference and audit purposes.

Tax Management:

• Ensure timely and accurate filing of all tax returns and submissions, including VAT, withholding tax, and corporate tax, in accordance with Kenya Revenue Authority (KRA) regulations.
• Monitor changes in tax regulations and implement necessary adjustments to accounting practices.
• Collaborate with external auditors and tax consultants to facilitate audits and ensure compliance with tax laws.

Record Management:

• Organize and maintain accurate financial records, including invoices, payment receipts, and supporting documentation.
• Ensure that all accounts payable documents are filed appropriately for easy retrieval.
• Perform periodic reviews of accounts payable ledgers and reports.

Financial Analysis and Reporting:

• Assist in the preparation of reports related to accounts payable, cash flow forecasting, and overall financial performance.
• Provide insights and recommendations to management related to cost-saving opportunities and payment efficiencies.

Internal Controls:

• Adhere to company policies and procedures regarding financial transactions and document management.
• Identify and mitigate risks related to accounts payable processes and improve operational efficiencies.

To support the Management Accountant in providing accurate and timely financial and management information, aiding strategic decision-making and ensuring compliance with accounting standards across multi-disciplinary engineering, construction, and real estate projects.

Key Responsibilities

Financial Planning & Analysis

• Assist in preparing monthly, quarterly, and annual management accounts.
• Analyze financial performance and variances across business units (MEP, Civil, Solar, Real Estate, etc.).
• Support budgeting, forecasting, and cash flow planning processes.

Project Cost Control

• Monitor project costs against budgets and forecasts.
• Track expenditures on ongoing construction and engineering projects.
• Work closely with project managers and engineers to validate cost allocations.

Reporting

• Generate cost reports, profitability reports, and variance analyses.
• Assist in producing board and investor reports for financial review.
• Maintain project-wise P&Ls and cost breakdowns.

Compliance & Internal Controls

• Support audits by preparing required documentation and reconciliations.
• Ensure compliance with IFRS, tax regulations, and internal policies.
• Help implement and maintain financial controls and procedures.

Accounts Reconciliation & Month-End Close

• Perform bank, supplier, customer, and intercompany reconciliations.
• Assist in month-end close procedures and journal entries.

Data Integrity & Systems

• Maintain accuracy of financial records in the ERP/accounting system.
• Assist with digital transformation efforts including automation and data migration.

Liaison & Coordination

• Coordinate with Procurement, Stores, Project, and HR departments to track costs and financial data.
• Communicate with external auditors, tax consultants, and regulatory bodies when necessary.

• Provide clear and concise financial overviews to management and stakeholders.

Budgeting and Forecasting

• Collaborate with management to develop annual budgets and financial forecasts.
• Monitor budget performance, analyze variances, and provide recommendations for financial improvements.
• Assist in financial planning to ensure optimal resource allocation and cost control.

Tax Compliance

• Ensure compliance with tax regulations.
• Calculate and prepare tax returns, considering specific hospitality-related tax deductions and credits.
• Stay informed about changes in tax laws affecting the hospitality industry.

Payroll and Benefits Administration

• Oversee payroll processing and ensure timely and accurate payment to employees.
• Manage employee benefits, including health insurance, retirement plans, and other perks specific to the hospitality industry.
• Ensure compliance with labor laws and regulations.
