Our client seeks to recruit for an Administrative Assistant.
Overall purpose
The Executive Assistant provides high-level administrative support to the executive team,
ensuring efficient operation and effective communication within the organization. This role
involves managing schedules, coordinating meetings, handling information requests, and
performing various administrative functions to support the executive team.
Administrative Support
• Manage and maintain executive calendars, scheduling meetings, appointments, and
travel arrangements.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Handle confidential information with discretion and professionalism.
Communication:
• Serve as the primary point of contact between the executives and internal/external
stakeholders.
• Draft and respond to emails, letters, and other communications on behalf of the
executives.
• Coordinate and facilitate communication across different departments and teams.
Meeting Coordination:
• Plan, organize, and coordinate meetings, including preparing agendas, taking minutes,
and following up on action items.
• Arrange conference calls and video meetings, ensuring all technical and logistical
details are handled.
Travel Arrangements:
• Arrange and manage travel itineraries, including flights, accommodations, and
transportation.
• Prepare travel expense reports and ensure timely reimbursement.
Project Management:
• Assist in the planning and execution of special projects and events.
• Monitor project timelines and deliverables, ensuring deadlines are met.
Office Management:
• Oversee the organization and maintenance of executive office files and records.
• Order and manage office supplies and equipment as needed.
Relationship Management:
• Build and maintain positive relationships with internal and external stakeholders.
• Handle inquiries and requests from employees, clients, and vendors with
professionalism and efficiency.
