Job Description

Duties and Responsibilities

  • Employee Records Management both electronically and in hard copy for all staff of Nairobi Java House.
  • Tracking, updating and management of statutory information for all staff – SHA, NSSF, PIN in addition to Food Handlers Certificates, Medical Additions & Deletions, GPA Additions & Deletions.
  • Support Staff confirmation, Disciplinary, promotion, and separation processes including requisite HRMIS management and pension administration.
  • Issuance of staff uniforms and safety gear to all new staff.
  • Liaise with staff in assigned branches to provide necessary HR guidance as required and conducting regular branch visits.
  • Organize for Interviews and call-in candidates, Sit in Interviews, Interview report and Summary, Regrets and On Boarding.
  • Managing effective communication by sending Internal Job Adverts & Memos.
  • Assists with planning and execution of corporate affairs events including Career Clinics/Fairs, employee recognition events & holiday parties.
  • Monitoring employee engagement through employee satisfaction surveys.
  • Managing the medical scheme, GPA/WIBA Compensations.
  • Organizing & Coordinating Corporate Social Responsibility and Team Buildings.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Assists with payroll functions including processing, answering employee questions & fixing processing errors.
  • Complete termination paperwork and exit interviews.
  • Keep up to date with the latest HR trends and best practices.
  • Work closely with the Scheduling team to ensure accurate and timely movement, placement and updating of staff records on the scheduling system.

Qualifications

  • Bachelor’s Degree – in Human Resource Management or related field.
  • Knowledge of the labor legislation governing the labor market (OSHA, WIBA and Kenya Employment Act).
  • Knowledge of statutory deductions and returns, e.g. NSSF, SHA/SHIF, NITA, Housing Levy, PAYE and systems such as NEIMS.
  • A great communicator and listener.
  • Broad knowledge and experience in recruitment, training and development and performance management.
  • Possess excellent problem-solving skills and team management experience.
  • Tactical focus, flexible & change maker.
  • Strong attention to detail Self-starter and motivated to move ahead without direct instruction Desirable qualifications, skills, and abilities.
  • Strong interpersonal skills with proven ability to work with multidisciplinary teams.
  • Experience working with international companies.
  • A team player who enjoys interacting with people of all levels in a multicultural environment.
  • Basic understanding of Artificial Intelligence (AI) tools, e.g. Claude, ChatGPT, Grok, is an added advantage.
  • Basic knowledge of pension schemes and HR applications/HRMIS systems is an added advantage.
