Job Description

We are recruiting on behalf of our client, a growing construction company, for a vibrant, proactive, and highly organized Administrative Assistant to support day-to-day office operations, client coordination, and administrative activities.

This is not a purely desk-based administrative role. The successful candidate will interact with clients, coordinate follow-ups, support management, assist with basic accounting and sales activities, and help ensure that day-to-day operations run smoothly.

Experience as a Personal Assistant and exposure to the construction industry will be an added advantage.

Key Responsibilities

  • Manage day-to-day office administration and secretarial duties.
  • Handle front-office activities and client enquiries.
  • Receive, respond to, and follow up on client requests.
  • Coordinate meetings, appointments, schedules, and correspondence.
  • Maintain organized company records and documentation.
  • Support management with daily administrative and operational activities.
  • Coordinate client follow-ups and service requests.
  • Assist with preparation and tracking of quotations, invoices, and other documents.
  • Provide basic accounting and administrative support.
  • Support sales and client engagement activities.
  • Follow up with clients, suppliers, and service providers where required.
  • Assist in coordinating project-related administrative requirements.
  • Maintain professional communication with clients and stakeholders.
  • Handle multiple priorities and meet deadlines.
  • Identify administrative gaps and take initiative to resolve them.

Qualifications & Requirements

  • Diploma or Degree in Secretarial Studies, Business Administration, Office Administration, or a related field.
  • BCom (Accounting) or accounting knowledge will be an added advantage.
  • Previous experience as an Administrative Assistant, Personal Assistant, Office Administrator, or similar role is preferred.
  • Experience working in a construction-related environment will be an advantage.
  • Strong spoken and written communication skills.
  • Excellent client service and relationship management skills.
  • Good working knowledge of Microsoft Office, particularly Excel.
  • Basic accounting knowledge.
  • Strong organizational and multitasking abilities.
  • Good problem-solving skills.
  • Ability to work independently and take initiative.
