Senior People Operations Associate

Reporting To: Interim COO

Role Overview: The Senior People Ops Associate at Ikigai will be instrumental in supporting team growth and development through recruitment and learning & development initiatives. This role encompasses key administrative responsibilities for the People team, ensuring a positive work environment for the Ikigai team.

Key Responsibilities:

  1. Team Wellness:
    • Support communication and implementation of team wellness initiatives.
    • Act as a trusted confidant for all team members, addressing questions, concerns, and personal & professional matters.
    • Make recommendations for wellness initiatives based on team needs.
  2. Recruitment:
    • Draft job descriptions and recruitment decks.
    • Support the recruitment process, including CV screening, interviews, and reference checks.
    • Make recommendations for proceeding with candidates based on culture and technical fit.
  3. Training & Development:
    • Draft onboarding and training schedules.
    • Support administrative onboarding tasks and coordinate the Buddy Program.
    • Develop training materials and maintain the learning management system (LMS).
    • Continuously improve training and development at Ikigai.
  4. Performance Management:
    • Create performance review templates and lead peer review survey implementation.
  5. Administrative & Systems Support:
    • Ensure job descriptions are updated, contracts are valid, and staff records are complete.
    • Collaborate with Finance for effective payroll administration and compliance.
    • Document HR policies and procedures.
    • Oversee leave management and support with HRMIS implementation.
    • Handle staff surveys and feedback collection.
  6. Strategic Planning Support:
    • Assist with annual strategic planning and budgeting for the People team.
    • Conduct research on HR policies, regulations, job descriptions, and salary benchmarks.
    • Provide evidence-supported guidance on HR-related matters.

Education and Experience:

  • 5+ years of HR and people operations experience in Kenya.
  • Experience in organizations with a strong people-focused culture.
  • Bachelor’s Degree in Human Resource Management or a related field.
  • Current membership of Institute of Human Resource Management (Kenya) or equivalent professional HR membership.
  • Current HR Practitioner of Kenya certified by the Institute of Human Resource Management (IHRM).
